We collect information in three ways: information you provide directly, information collected automatically when you use our website or platform, and information from third-party sources.
1.1 Information You Provide Directly
When you interact with PerfectLeads, you may provide us with:
Account Registration: Name, email address, phone number, company name, business address, industry, and payment information (processed securely through our payment processor).
Contact Forms & Inquiries: Name, email address, phone number, business type, and the content of your message when you contact us through our website, request a demo, or book a lead audit.
Platform Usage: Content you create within the PerfectLeads platform, including funnel pages, email and SMS templates, CRM data, contact lists, pipeline configurations, and automation workflows.
Billing Information: Credit card or other payment method details, billing address, and transaction history. Payment information is processed and stored by our PCI-compliant payment processor — we do not store full credit card numbers on our servers.
Communications: Records of correspondence when you contact our sales, support, or partnership teams via email, phone, or live chat.
Survey & Feedback: Responses to surveys, reviews, testimonials, and feedback you choose to provide.
1.2 Information Collected Automatically
When you visit our website or use the PerfectLeads platform, we automatically collect:
Device & Browser Information: IP address, browser type and version, operating system, device type, screen resolution, and language preferences.
Usage Data: Pages visited, time spent on pages, click patterns, referring URLs, exit pages, and navigation paths through our website and platform.
Location Data: Approximate geographic location based on your IP address.
Cookies & Similar Technologies: Information collected through cookies, web beacons, pixels, and similar tracking technologies as described in Section 5.
1.3 Information From Third-Party Sources
We may receive information from third-party sources including:
Advertising Platforms: Lead and conversion data from Facebook Ads, Google Ads, and other advertising platforms when you connect your ad accounts to PerfectLeads.
Integration Partners: Data synced from third-party tools you connect to PerfectLeads (e.g., Zapier, Google Analytics, Stripe, QuickBooks).
Publicly Available Information: Business information from public directories, websites, and social media profiles used for sales outreach.
2. How We Use Your Information
We use the information we collect for the following purposes:
Providing & Improving Our Services: To create and manage your account, deliver the PerfectLeads platform and features, process your transactions, provide customer support, and improve our products and services.
Communication: To send you service-related notices, account updates, security alerts, billing confirmations, product announcements, and respond to your inquiries and requests.
Marketing: To send you promotional communications about PerfectLeads products, features, and offers, including email newsletters, product tips, and educational content. You may opt out of marketing emails at any time by clicking “unsubscribe” in any email or contacting us at privacy@perfectleads.com.
Analytics & Personalization: To understand how users interact with our website and platform, analyze usage trends, personalize your experience, and optimize our marketing efforts.
Security & Fraud Prevention: To detect, prevent, and respond to fraud, abuse, security incidents, and other harmful or unauthorized activity.
Legal Compliance: To comply with applicable laws, regulations, legal processes, and government requests.
Business Operations: To conduct business planning, reporting, auditing, and other internal operations.
3. How We Share Your Information
We do not sell your personal information. We may share your information in the following circumstances:
Service Providers: We share information with third-party vendors who perform services on our behalf, including cloud hosting (Amazon Web Services, Google Cloud), payment processing (Stripe), email delivery (SendGrid, Mailgun), SMS delivery (Twilio), analytics (Google Analytics, Mixpanel), and customer support tools (Intercom). These service providers are contractually bound to use your data only for the purposes we specify and to maintain its confidentiality.
Advertising Partners: When you connect your advertising accounts (Facebook, Google) to PerfectLeads, lead and conversion data is shared between the platforms to optimize your campaigns. This sharing is initiated and controlled by you through the platform integrations you enable.
Business Transfers: In the event of a merger, acquisition, reorganization, bankruptcy, or sale of all or a portion of our assets, your information may be transferred as part of the transaction. We will notify you via email and/or prominent notice on our website of any change in ownership or uses of your personal information.
Legal Requirements: We may disclose your information if required by law, regulation, legal process, or governmental request, or if we believe disclosure is necessary to protect the rights, property, or safety of PerfectLeads, our users, or the public.
With Your Consent: We may share your information with third parties when you have given us your explicit consent to do so.
4. Data Processed on Behalf of Our Customers
PerfectLeads is a platform that enables businesses to capture, manage, and follow up with their leads. When our customers use the PerfectLeads platform, they may collect personal information from their own leads and customers (“End User Data”). This section addresses how we handle that data.
Data Processor Role: With respect to End User Data, PerfectLeads acts as a data processor (or service provider) on behalf of our customers, who are the data controllers (or businesses). Our customers determine the purposes and means of processing their End User Data — we process it only as instructed by them and as necessary to provide the PerfectLeads platform.
Customer Responsibility: Our customers are responsible for ensuring that their collection and use of End User Data complies with all applicable privacy laws, including obtaining any necessary consents from their leads and customers. PerfectLeads provides tools to help customers comply with privacy regulations (e.g., opt-out handling, consent tracking, data export), but ultimate compliance responsibility rests with the customer.
Data Access: End User Data is accessible only to the PerfectLeads customer who collected it and to PerfectLeads personnel who need access to provide the service. We do not share one customer’s End User Data with other customers, use it for our own marketing purposes, or sell it to third parties.
Data Portability: Customers may export their End User Data from the PerfectLeads platform at any time. Upon account termination, customers may request a full data export before their data is deleted in accordance with our data retention policies.
5. Cookies and Tracking Technologies
We use cookies and similar tracking technologies to collect and store information about your interactions with our website and platform.
5.1 Types of Cookies We Use
Essential Cookies: Required for the website and platform to function properly. These include session cookies, authentication cookies, and security cookies. You cannot opt out of essential cookies without affecting functionality.
Analytics Cookies: Help us understand how visitors interact with our website by collecting and reporting information anonymously. We use Google Analytics and similar tools for this purpose.
Functionality Cookies: Remember your preferences and settings (e.g., language, region) to provide a more personalized experience.

5.3 Do Not Track Signals
Our website does not currently respond to “Do Not Track” (DNT) browser signals, as there is no industry-standard technology for recognizing or honoring DNT signals. We will update this policy if a standard is established.
6. Data Retention
We retain your personal information for as long as your account is active or as needed to provide you with our services. Specifically:
Active Accounts: We retain your account data, platform data, and End User Data for the duration of your subscription.
Closed Accounts: After account cancellation, we retain your data for up to 90 days to allow for reactivation or data export. After this period, your data is permanently deleted from our active systems, though it may persist in encrypted backups for up to 12 additional months before being purged.
Marketing Contacts: If you have subscribed to our marketing communications but are not a paying customer, we retain your contact information until you unsubscribe or request deletion.
Legal & Compliance: We may retain certain information for longer periods as required by law (e.g., financial records, tax documentation) or as necessary to resolve disputes, enforce our agreements, or protect our legal rights.
7. Data Security
We implement appropriate technical and organizational measures to protect your personal information against unauthorized access, alteration, disclosure, or destruction. These measures include:
Encryption: All data transmitted between your browser and our servers is encrypted using TLS 1.2 or higher (HTTPS). Sensitive data at rest is encrypted using AES-256 encryption.

Payment Security: Payment processing is handled by PCI DSS Level 1-compliant processors. We never store full credit card numbers on our servers.

While we take reasonable precautions to protect your data, no method of transmission over the Internet or method of electronic storage is 100% secure. We cannot guarantee absolute security.

Right to Correction: You may request that we correct inaccurate or incomplete personal information.
Right to Deletion: You may request that we delete your personal information, subject to certain legal exceptions.

Right to Restrict Processing: You may request that we restrict the processing of your personal information in certain circumstances.
Right to Object: You may object to our processing of your personal information for direct marketing purposes.

Note for End Users: If you are a lead or customer of a business that uses PerfectLeads (an “End User”), your data is controlled by that business. Please direct privacy requests to them directly. If you contact us, we will refer your request to the applicable PerfectLeads customer.
9. California Privacy Rights (CCPA/CPRA)
If you are a California resident, the California Consumer Privacy Act (CCPA), as amended by the California Privacy Rights Act (CPRA), provides you with additional rights regarding your personal information.
Categories of Personal Information Collected: In the preceding 12 months, we have collected the following categories of personal information: identifiers (name, email, phone, IP address), commercial information (purchase history, subscription details), internet activity (browsing history, usage data), geolocation data (approximate location from IP), and professional information (company name, industry, job title).
We Do Not Sell Personal Information. PerfectLeads does not sell personal information as defined by the CCPA/CPRA. We do not exchange personal information for monetary or other valuable consideration.
We Do Not Share for Cross-Context Behavioral Advertising. We do not share personal information for cross-context behavioral advertising as defined by the CPRA, except where you have opted into such sharing through advertising integrations you configure (e.g., connecting Facebook Pixel).
California-Specific Rights: In addition to the rights listed in Section 8, California residents have the right to: know what personal information is collected and how it is used, request deletion of personal information, opt out of the sale or sharing of personal information, non-discrimination for exercising your privacy rights, and correct inaccurate personal information.
Exercising Your Rights: California residents may submit requests by emailing privacy@perfectleads.com with the subject line “California Privacy Request.” We will verify your identity and respond within 45 days as required by the CCPA/CPRA.
Authorized Agents: You may designate an authorized agent to make requests on your behalf. We may require that you verify your identity directly with us and confirm the agent’s authorization.
10. International Data Transfers (GDPR)
If you are located in the European Economic Area (EEA), United Kingdom (UK), or Switzerland, this section applies to you.
Legal Basis for Processing: We process your personal data under one or more of the following legal bases: performance of a contract (to provide you with our services), legitimate interests (to operate, improve, and market our business), consent (where you have provided explicit consent), and compliance with legal obligations.
Data Transfers: PerfectLeads is based in the United States. Your personal data may be transferred to and processed in the United States, where data protection laws may differ from those in your jurisdiction. Where required, we rely on Standard Contractual Clauses (SCCs) approved by the European Commission, or other appropriate safeguards, to protect data transferred from the EEA/UK to the United States.

Right to Lodge a Complaint: If you believe we have violated your privacy rights, you have the right to lodge a complaint with your local data protection supervisory authority.
11. Children’s Privacy
PerfectLeads is not directed at children under the age of 16. We do not knowingly collect personal information from children under 16. If we become aware that we have collected personal information from a child under 16, we will take steps to delete that information promptly. 12. Third-Party Links and Services
Our website and platform may contain links to third-party websites, services, and integrations that are not owned or controlled by PerfectLeads. This Privacy Policy does not apply to those third-party services. We encourage you to review the privacy policies of any third-party service before providing them with your personal information.
When you connect third-party services to PerfectLeads (e.g., Facebook Ads, Google Ads, Stripe, Twilio), the data shared with those services is subject to their respective privacy policies in addition to ours.
13. Changes to This Privacy Policy
We may update this Privacy Policy from time to time to reflect changes in our practices, technology, legal requirements, or other factors. When we make material changes, we will:
Post the updated policy on this page with a revised “Last Updated” date. Notify you via email (for active customers) at least 30 days before the changes take effect. Provide prominent notice on our website if the changes are significant.
